About Jenny Events Co.

Jenny Events Co. is a boutique wedding planning and design studio based in Newport, Rhode Island, specializing in elevated, coastal, and editorial-style celebrations. Our work blends refined floral design, intentional planning, and high-touch client experiences across luxury New England venues.

We are seeking a highly experienced, detail-driven Event Coordinator who can confidently manage both client-facing communication and full event execution —from first inquiry through production and breakdown.

This is not an entry-level role. We are looking for someone who understands the pace, standards, and discretion required in the luxury wedding market.

The Role

This is a hybrid position combining client relations, planning logistics, and on-site execution leadership .

You will serve as a key point of contact for clients and vendors , while also ensuring that every event is executed with precision, calm leadership, and attention to detail.

Key Responsibilities

Client & Planning

  • Lead client communication from inquiry through event completion
  • Conduct consultations and support the sales process
  • Create and manage proposals, timelines, and production documents
  • Maintain consistent, polished, and professional client experience

Production & Logistics

  • Coordinate with venues, vendors, and internal teams
  • Manage event timelines, layouts, and flow
  • Oversee all pre-event logistics and confirmations
  • Ensure seamless transitions across all phases of the event

Event Day Execution

  • Lead on-site coordination with authority and composure
  • Direct vendor teams, manage setup, and oversee strike
  • Troubleshoot in real-time without disrupting client experience
  • Ensure the design vision is executed to brand standards

Qualifications (Non-Negotiable)

  • 3+ years of wedding or event coordination experience (required)
  • Proven ability to independently manage full wedding days
  • Strong understanding of event flow, timelines, and vendor coordination
  • Exceptional communication skills (email, phone, in-person)
  • Highly organized with strong follow-through and accountability
  • Ability to anticipate issues before they arise

Operational Requirements

  • Available for weekends, evenings, and long event days
  • Able to stand for 8–10+ hours and lift up to 50 lbs
  • Comfortable assisting with setup, styling, and breakdown
  • Valid driver’s license + reliable transportation (ability to drive a van/U-Haul is a plus)
  • Willing to travel throughout Rhode Island and New England
